How to Send an Official Homeschool Transcript

What makes a homeschool transcript official? Learn how to certify, save, and send the record when a college, employer, scholarship, or program asks for an official transcript.

Homeschool parents often create a perfectly good transcript and then stop at one intimidating word:

Official.

For an independently administered homeschool, the parent or homeschool administrator is the school official responsible for the academic record.

What Makes the Transcript Official?

An official homeschool transcript should be a complete, accurate academic record issued by the homeschool administrator.

It should clearly identify the student and school, show the academic record, and include an administrator certification or signature.

What Should Be on It?

A professional final transcript generally includes:

  • student’s full legal name

  • homeschool or school name

  • school contact information

  • courses, credits, and grades

  • GPA when used

  • grading scale or policy

  • graduation date on the final version

  • administrator name, title, and signature or certification

Does It Need to Be Notarized?

Usually not unless the receiving organization specifically requires notarization.

Do not add requirements that the college, employer, or program did not ask for.

Who Sends It?

When an organization asks for an official transcript, follow its submission instructions.

Some will accept a PDF uploaded by the homeschool administrator. Others may ask for email directly from the school, a transcript service, a sealed envelope, or another method.

If the instruction says the transcript must come directly from the school, the parent acting as homeschool administrator should send it rather than having the student upload it from the student’s own account.

PDF or Paper?

PDF is convenient and preserves formatting. Save a clean final PDF that cannot accidentally shift when opened on another computer.

If paper is required, print a clean copy on good-quality white paper, sign it if appropriate, and follow any sealing or mailing instructions provided by the recipient.

What About a Sealed Envelope?

If a recipient asks for a sealed official transcript, place the signed transcript in an envelope, seal it, and sign across the flap if that is part of the requested process.

Again, use the receiving organization’s instructions rather than assuming every transcript needs this treatment.

Dual-Enrollment Transcripts Are Separate

Your homeschool can report dual-enrollment coursework on the high school transcript, but the homeschool cannot issue the official college transcript.

When official college credit documentation is required, request it directly from the college where the course was taken.

Keep a Submission Log

Record where the transcript was sent, when it was sent, and how it was delivered. Save confirmation emails or upload receipts when available.

Do Not Keep Editing the Final Record

Once the student graduates and the transcript is finalized, preserve the permanent version. If you later send another copy, it should reflect the same underlying academic record.

Remember

For an independent homeschool, you are not pretending to be the school official. You are the school administrator responsible for certifying and transmitting the student’s record.
