Graduation feels like the end of the paperwork.

It is not.

Your student may need high school records years from now for college transfer, employment, military service, professional licensing, scholarships, or another opportunity you cannot predict today.

Create a Permanent Graduate File

Once senior year is complete, separate permanent records from the everyday homeschool materials you no longer need.

The permanent file should be easy to find even years later.

Keep the Final Transcript

Save the final signed transcript exactly as it existed when the student graduated.

Keep both a digital file and at least one reliable physical copy. If you later issue another copy, use the same underlying academic record rather than rebuilding the transcript from memory.

Keep a Copy of the Diploma

Preserve a scan or high-quality PDF of the signed diploma along with the physical original.

Keep Supporting Academic Records

Depending on the student and future plans, useful records may include:

• course descriptions

• reading lists

• grading scale and GPA policy

• major projects or portfolios

• lab documentation

• standardized test reports

• certifications

• outside-course records

Dual Enrollment Needs Its Own Record

Keep information about every college where the student earned dual-enrollment credit. The college remains the official source of that college transcript.

Record the institution name, student account information needed to request transcripts, dates of attendance, and any student ID that may be useful later.

Use More Than One Storage Location

One copy on one laptop is not a record-retention system.

Keep files in at least two reliable places, such as a secure cloud folder and an external backup. Use clear filenames that include the student name and document type.

Do Not Depend on an Old Homeschool Email Address

If your records are tied to an email account or service you may eventually stop using, move the permanent files to a location you control long-term.

Remember

Your homeschool may end when the student graduates, but your role as keeper of the high school record may last for decades. Preserve the documents now while everything is complete and easy to verify.
